POSITION SUMMARY
The Executive Assistant provides direct administrative support to the Vermont State Director and serves as liaison to the Board of Trustees.
*ESSENTIAL FUNCTIONS *
Executive Director Support: (50%)
  • Meticulously handles the Director’s calendar, including travel arrangements.
  • Assumes all responsibilities for supporting and helping coordinate and implement the Director’s outreach, management, and project responsibilities related to the organization’s conservation goals.
  • Serves as the point person to the Board of Trustees on behalf of the Director
  • Drafts and/or edits internal and external communication on behalf of the director, including board reports, letters, and proposals.
  • Supports Leadership Team in fulfilling its collective tasks.
Board Management: (50%)
Board Meetings:
  • Responsible for drafting agenda content, managing all meeting logistics and communications, creating board reports and keeping meeting minutes.

The Executive Assistant/Board Liaison works closely with the State Director to provide high-level administrative support for the chapter. The candidate will be responsible for managing the Director’s administrative affairs including communications, calendar management, travel arrangements, meetings logistics, and project and report coordination. This position includes frequent interaction and communications between the Director, the Board of Trustees and all members within the organization including managers, staff, donors, as well as leaders and partners in the business, policy, and conservation communities.
Responsibilities include writing and development of communications materials and reports, coordination of Trustee and committee meetings, and tracking critical information. S/he also serves as Trustee Liaison to the Vermont chapter’s Board of Trustees, responsible for all aspects of planning, organizing, and maintaining budgets for trustee events, disseminating important information, assembling Trustee meeting materials, monitoring the trustee Connect website, assisting with the on-boarding and orientation of new Trustees, planning and coordination of meetings for the Board’s committees, taking meeting minutes, and other Trustee-related administrative duties. S/he will implement processes and practices in order to improve effectiveness. S/he will effectively communicate or distribute information to assist staff in making decisions, solving problems, and improving workflow. S/he makes interpretations and recommendations as appropriate. Duties are often confidential, require discretion, professional judgment, tact and poise. Incumbent has considerable latitude and flexibility in carrying out assigned tasks.
RESPONSIBILITIES & SCOPE
  • Act independently on assigned tasks and exercise independent judgment based on analysis and experience.
  • Coordinate projects with several variables, work within a defined timeline and budget.
  • Demonstrate sensitivity in handling confidential information.
  • Duties may require non-routine analysis, research and follow-through.
  • Ensure compliance with TNC policies and procedures, and external (donor/legal/IRS) requirements.
  • Financial responsibility includes purchasing, contracting with vendors, and assisting with budget preparation.
  • May act as a resource to others to solve problems and act in supervisor’s stead when instructed.
  • May supervise administrative and/or volunteer staff, responsibility includes training and professional development.
  • Provide input through project teams for the improvement of existing programs.
  • Refer difficult questions and unusual problems to supervisor.
  • Travel and work flexible hours.
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
  • Work is diversified and may not always fall under established practices and guidelines.
  • Work within scope of program’s strategic goals.
*MINIMUM QUALIFICATIONS *
  • Bachelor’s degree and 3 years’ experience or equivalent combination.
  • Experience with MS Office, including use of the internet.
  • Experience in business writing, editing, and proofreading.
  • Experience organizing time, schedules and managing diverse activities to meet deadlines.
  • Experience working across teams and communicating with a wide range of people.
  • Experience working in a fast paced, dynamic work environment

  • Solid knowledge of MS Office. Ability to use advanced functions, including sophisticated knowledge of the Internet. Experience supporting and troubleshooting personal computers.
  • Experience working with board of directors, donors, volunteers, the public, and/or all levels of staff.
  • Strong organization skills, accuracy, and attention to detail.

This position requires a valid driver's license and compliance with the Conservancy's Auto Safety Program. Employees may not drive Conservancy-owned/leased vehicles, rental cars, or personal vehicles on behalf of the Conservancy if considered "high risk drivers."
