Job Summary / Responsibilities
  • Communicate and implement FHI 360 travel policies and procedures.
  • Act as liaison with travel agency with regards to billing issues and back-office accounting
  • Perform other related duties as assigned.
  • Process appropriate travel advances and reconcile travel advance account, obtaining and accounting for travel funds advanced and spent assuring proper documentation and receipts for reimbursements, and proper use of air carriers according to federal and corporate travel regulations.
  • Reconcile the travel advance account to the corporate General Ledger.
  • Works closely with FHI 360 staff to re-classify mis-posted travel expenses and prepares journal entries if needed. Research discrepancies from the travel advance account.
  • Matches all air invoices and reconciles monthly American Express statement for payment against advance account.
  • Assemble all prepaid travel documents in employee travel files, verify all amount match advance account.
  • Track voided and refunded tickets from travel logs reconcile against advance account, American Express statement and internal tracking logs.
  • Assemble all prepaid travel documents in employee travel files, verify that all amounts match travel advance account.
  • Assist with the reconciliation of small and large scale multinational conference expenses.
  • Process all vendor bills for payment.
Qualifications
  • High School Diploma or GED and 4+ years of relevant experience with international expense report reconciliations
  • Knowledge of accounting, bookkeeping and/or finance.
  • Ability to manage a large volume of work with minimum supervision.
  • Knowledge of Federal Government and USAID travel regulations.
  • Ability to maintain accurate and complete records.
  • Strong written and verbal communication skills.
  • Relevant computer software skills, particularly Microsoft Office.
  • Ability to use judgment to execute duties and responsibilities.
  • Ability to initiate majority of tasks, specify and plan activities for task accomplishment and notify supervisor of variances.
