POSITION SUMMARY
The Executive Assistant provides direct administrative and program support for senior staff and teams in The Nature Conservancy’s Washington Program and global Corporate Engagement team. This position is located in Seattle, Washington.
ESSENTIAL FUNCTIONS
The Executive Assistant provides administrative and program support for 3-5 senior staff and leadership teams in The Nature Conservancy’s Washington Program and global Corporate Engagement team. This position is split 50/50, with 50% of time supporting the Washington Program and 50% of time supporting the Corporate Engagement team. Essential functions include:
  • Calendar management;
  • Assisting with the scheduling and logistics of meetings and special events;
  • Setting up, managing and recording multi-party tele- and video-conference calls across numerous time zones;
  • Coordinating the meeting agenda development, notes and action item tracking for Washington’s Executive and Senior Management Teams;
  • Supporting the Conservancy’s Business Council calls, meetings and communications;
  • Providing back-up for the Executive Assistant to the Washington State Director;
  • Making domestic and international travel arrangements;
  • Drafting correspondence; and
  • Processing expenses.
TheExecutive Assistant will coordinate activities with multiple variables, setting realistic deadlines and managing the timeline. S/he applies established processes and practices in order to improve effectiveness. TheExecutive Assistant will communicate on behalf of supervisor and teams with staff in various programs across the Conservancy; as well as with donors, vendors, and business relations. S/he will provide other staff with information they need to make decisions and solve problems. S/he will perform administrative functions for program as required.
RESPONSIBILITIES AND SCOPE
Level of Responsibility
This is a junior position and duties are performed under general supervision and established guidelines.
  • Does not supervise any staff, but may supervise volunteers, interns, or temporary staff.
  • Serves as a team member for assigned projects.
  • Financial responsibility may include purchasing, processing invoices, contracting with vendors, and assisting with budget tracking.
  • The Executive Assistant reports to the Washington Deputy State Director, and provides support for senior staff and teams in the Conservancy’s Washington Program and global Corporate Engagement team.
Within the scope of the position, the Executive Assistant will:
  • Demonstrate sensitivity in handling confidential information.
  • Identify routine problems and utilize existing resources for resolution, refer difficult questions and problems to supervisor.
  • Make day-to-day decisions within the scope of work assignments and prioritize work independently.
  • Communicate on behalf of the supervisor with internal and external sources, including staff, donors, vendors, and business relations in order to coordinate arrangements, convey information, and ensure successful execution of job duties.
  • Coordinate activities with multiple variables, setting realistic deadlines and managing the timelines.
  • Apply and improve established processes and practices in order to increase effectiveness and document program procedures for reference by staff.
Work Environment & Schedule
  • Willingness to travel, work overtime, and work early mornings, evenings and weekends as needed to support meetings, calls and events in multiple time zones and locations.
  • Work is performed primarily in a professional office setting and work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
MINIMUM QUALIFICATIONS

  • Bachelor’s degree and 1 year related experience OR Associates Degree and 3 years’ related experience OR equivalent combination of education and experience.
  • Experience in business writing, editing, and proofreading.
  • Experience organizing time and managing diverse activities to meet deadlines.
  • Experience working and communicating with a wide range of people.
  • Experience performing one or more of the following administrative processes: managing schedules, making travel arrangements, and/or coordinating meeting logistics.
PREFERRED QUALIFICATIONS:
  • Experience providing administrative support for executive staff and desire to continue on professional executive assistant career path strongly preferred.
  • Experience working with board of directors, donors, volunteers, the public, and/or all levels of staff.
  • Experience working with geographically dispersed teams.
  • Strong organizational skills and attention to detail.
  • Ability to analyze information for the purpose of preparing reports, coordinating activities, and solving problems.
  • Proficient with MS Office, video conferencing, Skype, SharePoint and other common office software.
